Overview
Collaborations let you have conversations about specific parts of a document directly within Flow. Instead of switching to email or chat to discuss an order detail, you can pin a thread to the exact location on the document and tag your colleagues.Thread types
When you start a collaboration, you choose a thread type that describes its purpose. Three of the four types block confirmation — the request cannot be confirmed until those threads are resolved.Conversation
A general discussion thread. Use it to leave notes or discuss a section of the document with your team.- Does not block confirmation — a request can be confirmed with open conversations.
- No resolve state — conversations cannot be marked as resolved. They remain open indefinitely.
- No assignment available.
Question
Use this to ask a question about the document that needs an answer before the request can move forward.- Blocks confirmation — the request cannot be confirmed until the question is resolved.
- Anyone on the team can resolve a question.
- No assignment available.
Clarification
Use this when you need a specific person to review something and respond before the request can proceed.- Blocks confirmation — the request cannot be confirmed until the clarification is resolved.
- Assign specific users — when creating a clarification, you can assign one or more team members who are responsible for responding. Assigned users see a “You are assigned” indicator when they open the thread.
- Who can resolve — the thread owner or any assigned user can mark it as resolved.
If a clarification is left unresolved, the Confirm button will be disabled and show a message indicating the clarification must be resolved first.
Exception
Use this to flag something unusual or problematic — an error, a mismatch, or anything that needs to be acknowledged before the request is confirmed.- Blocks confirmation — the request cannot be confirmed until the exception is resolved.
- Who can resolve — only the thread owner can resolve an exception. Assigned users cannot resolve it.
- No assignment available.
- Exceptions are visually distinct: they appear with a red border and red background on the document marker, making them immediately noticeable.

Start a collaboration
Open the document in Flow
Navigate to the request in Flow and open the document attachment where you want to start the discussion.
Click on the document
With the collaboration tool active, click on the specific area of the document you want to discuss. A new thread popover appears anchored to that position.
Choose a thread type
Select the type that best fits: Conversation, Question, Clarification, or Exception.
Write your comment
Enter your message. You can @mention colleagues to notify them and attach files if needed.
Assign users (Clarification only)
If creating a Clarification, select the team members responsible for responding.
View and respond to threads
Existing collaborations appear as highlight markers on the document. Click any marker to open the thread and see all comments. From an open thread you can:- Add a comment — continue the conversation with text, mentions, and file attachments.
- Edit your comments — update any comment you’ve written.
- Delete comments — remove comments (when there is more than one in the thread).
- Download attachments — access files that others have attached.
Resolve threads
When a question, clarification, or exception has been addressed, mark it as resolved using the checkmark icon in the thread. Resolved threads show a “Resolved” badge but remain visible on the document for reference. See the summary table above for who can resolve each type.Delete a thread
The thread owner can delete the entire collaboration, removing it from the document.Notifications
When someone mentions you or replies to a thread you’re part of, you receive a notification that links directly to the collaboration in Flow.Real-time updates
Collaborations update in real time. When a colleague adds a comment or resolves a thread, you see the changes immediately without refreshing the page. What’s next
